How can I become an exhibitor at Intermodal EXPO?

What is the cost to exhibit?

Exhibiting rates start at $4,000 for member 10x10 and $5,000 for non-member. For additional information please contact our Exhibit Sales team at 703-223-5171 or expoexhibits@Intermodal.org

What is included with my booth fees?

Your exhibit fee includes the space to display your booth, side drape and back drape with hanging sign, (for inline booths) as well as complimentary registrations to EXPO.

What is drayage?

Drayage is the moving of exhibitor materials, machinery, etc., off the exhibitor’s truck at the dock to the exhibitor’s booth and back to the dock to be loaded back onto the truck. Additional fees are charged for this mandatory service. You cannot pull your own equipment to your booth unless you can carry it without assistance.

What is a Certificate of Insurance (COI)? Why you need this, and where to get it.

IANA and the Long Beach Convention & Entertainment Center requires Exhibitors to carry general liability insurance with limits of at least $1,000,000 per occurrence, $2,000,000 aggregate. Intermodal Association of North America, Long Beach Convention & Entertainment Center, Freeman, and EAG shall be named as Additional Insured. This Insurance must be in force during the lease dates of the event, September 13-18, 2025.

Insurance shall be in full compliance with all federal and state laws, covering all Exhibitors’ employees engaged in the performance of any work for the exhibitor. Exhibitor shall furnish a certificate of Insurance evidencing the required Insurance upon request.

Please note: EACs will not be permitted to move-in and set-up their displays if a proper certificate of insurance has not been received by Intermodal Association of North America. Failure to produce the COI when asked will result in removal from the show.

What is the payment schedule for booth space?

A deposit of 50% of the total cost of the exhibit space must be made to hold a space, and all fees must be paid in full no later than April 1, 2025. Applications submitted after April 1, 2025, must be accompanied by full payment of the exhibit space. Applications will not be processed, or space assigned, without the required payment.

How can I improve my priority point standing?

Each exhibitor is assigned a priority point for space selection. By exhibiting continuously, and those ahead of you in priority not exhibiting, an exhibitor moves up the priority point system. Additional points are awarded for sponsoring at Intermodal EXPO as well. Sponsorship from previous year does not carry over.

What are the height regulations?

The maximum allowable height of exhibit displays, drapery, and hanging signs within island exhibit spaces 400 sq.ft. or larger is limited to 20 feet.

For exhibit spaces less than 400 sq. ft., inline, and corner exhibit booth spaces, the maximum allowable height will be 8 feet (the same as the backwall drape height).

Display material (including show cases, display or storage cabinets, electrical fixtures, wire, conduits, etc.) and equipment must adhere to the Exhibit Construction Guidelines outlined in the complete Rules & Regulations.

How many complimentary booth personnel badges do we receive?

Each exhibitor will be provided with complimentary badges based on the size of the booth purchased. Official show badges will be always required for entry into the exhibit hall. Badges are not transferable and those worn by other than the person to whom issued will be confiscated. Business cards are not to be used in badge holders. Badges needed more than this allotment must be purchased at the appropriate rate.

Each exhibitor will be provided with complimentary badges based on the size of the booth purchased. Two (2) comp badges for the first 100 sq.ft. of exhibit space and 1 additional comp badge for every 100 sq.ft. thereafter, up to 8 complimentary passes.

What is my Exhibitor Dashboard login ID?

The Show Contact for your company will receive an email with an ID and a password to log in to your Exhibitor Dashboard. If you have not received this password or are having trouble logging in, please have the Show Contact call the Exhibit Sales team at 703-223-5171 or expoexhibits@Intermodal.org

Passwords can only be given out to the Show Contact on file.

How do I populate my company information for inclusion in the online directory?

Go to the Exhibitor Dashboard. The online Exhibitor Search is the directory for the show. As an exhibitor, you are automatically included in the online directory (Exhibitor Search) and mobile app. The online listing and mobile app lists only exhibiting company names and booth numbers. All other information you wish to convey to attendees about your company should be in your online company profile.

Login information will be sent to the Exhibitor (Show) Contact. Once you have received the ID and password, you can log in to the Exhibitor Dashboard and begin populating your company description, vertical markets, product categories and more.

What is included in the basic online exhibitor directory listing?

All exhibiting companies are provided a complimentary online directory listing that includes:

  • Company Description and Contact Information
  • Link to Company Website
  • Social Media Links
  • Product Categories

What is the cancellation policy?

Written cancellation is required, in whole or in part, and must be received at the Intermodal EXPO Show Management office prior to April 1, 2025, to qualify for a refund of the deposit, less a $500 administrative fee for each 100 SF of booth space held. Written cancellation, in whole or in part, after April 1, 2025, will forfeit all monies paid. Cancellation at any time will result in the forfeiture of all benefits afforded to exhibitors including advance housing and complimentary registrations. Space may be resold or reassigned without any obligation on the part of IANA for any refund whatsoever.

When will I have access to the show floor as an exhibitor?

Booth personnel will not be permitted to enter the exhibit floor earlier than one hour before the scheduled opening time each day of the show and will not be permitted to remain on the exhibit floor after the official closing of the show each evening. Exhibitors that require additional time must obtain permission in writing from Intermodal EXPO Show Management prior to the show day.

Who is the official service contractor for Intermodal EXPO?

The official exhibition contractor is Freeman. Prior to the show Freeman will provide a link to Freeman Online exhibitor ordering service to each exhibitor with complete instructions for shipping, storage, set-up, and dismantling. Order forms for carpet, furniture, telephones, computers, electricity, etc., will also be included. In addition, an Exhibitor Service Center will be maintained by Freeman throughout Intermodal EXPO, including set up, show hours and dismantling. Please note that an Exhibitor Service Manual will be available in Spring 2025 to those companies you are fully paid.

Is carpet required for my booth?

Each exhibitor MUST have their exhibit space covered in flooring. Companies can bring in their own flooring materials, including carpet, foam squares etc. Please note that your booth must be SHOW READY by 5pm on September 15, 2025, or Freeman will place carpet in your space at the cost of the exhibitor. Exhibitors that require additional time must obtain permission in writing from Intermodal EXPO Show Management prior to the show day.
